This notice explains what information we collect when you book a place at a Herts Football Centre camp or send us a message, why we need it, and what your rights are.

Who is responsible for your information

Bayware Sports Group Ltd (company number 16443847), trading as Herts Football Centre, is the data controller. Address: 20-22 Wenlock Road, London, N1 7GU. Contact: bookings@hertfordshirefootball.com.

What we collect

About you: Name, email address, phone number and billing details.
About your child: Name, date of birth, position, current club, town or city, and the camp days booked.
Health information: Any medical conditions, allergies, medication or additional needs you tell us about.
Safety details: Any medical information you give us, an emergency contact, and photo consent.
Referral code: If you enter one, so we know who referred you.
Messages: Your name, email, phone number if you give it, and your message, when you use our contact form.
At the camp: Attendance, and a record of any accident or incident.

Card details are entered on our payment provider's secure page. We never see or store your full card number.

Why we use it, and our legal basis

To take and manage your booking, including payment, confirmation and changes. Basis: performing our contract with you.
To keep your child safe, including first aid, allergies and emergencies. Basis: our legitimate interest in running a safe camp. For health information, your explicit consent, given when you provide it, or where needed to protect your child's vital interests in an emergency.
To keep financial records. Basis: legal obligation.
To publish photos, only where you have ticked the photo box when booking. You can withdraw consent at any time.

We do not use your information for marketing unless you have asked to hear from us. We do not sell it.

Who we share it with

Our payment provider, which processes card payments securely on our behalf.
Our coaches and camp staff, who see only what they need to look after your child, such as names, allergies and emergency contacts.
Emergency services, if your child needs urgent care.
Our website host, which stores standard server logs.
Our email and document storage provider, where booking records are kept securely and only camp staff can access them.

How long we keep it

Health information and emergency contacts: deleted within 3 months of the camp ending.
Accident and incident records: kept until the child turns 21, as they may be needed for insurance or legal claims.
Booking and payment records: 6 years, for accounting purposes.

Cookies

This website does not use cookies or tracking. The secure payment page uses cookies only where needed to process payments and prevent fraud.

Your rights

You can ask to see the information we hold about you or your child, ask us to correct or delete it, object to how we use it, or withdraw consent. Email us and we will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
